Prices reflected are for the UW-Madison band and their uniforms, any other potential customer's pricing would have to be negotiated through the contract administrator and the vendor.

The UW Band has approximately 300 member uniforms, 10 director uniforms and 2 drum major uniforms which we estimate cleaning five to eight times per year.    All items are stored during the off season.

SPECIFICATIONS FOR EQUIPMENT, UTILITIES, SUPPLIES AND SPACE

The Contractor shall furnish all equipment, utilities, supplies and space herein specified and all management and labor necessary for the efficient, sanitary and ecologically sound operation of the dry cleaning service and licensed storage space.

Ownership of all band uniforms shall remain with the University.  However, the contractor agrees to take such measures as may be reasonably required, as defined by the University, for the protection against loss by pilferage or destruction.  The contractor shall have full responsibility for the costs of any damage or loss of uniforms caused by the negligence of the contractor or his employees.  The University shall be reimbursed by the contractor for any uniform damaged by neglect or carelessness in the dry cleaning process.  The University shall be responsible for marking items as to University ownership and/or department name.  Items may also be personalized (i.e. Directors Uniform).

The premises, equipment, supplies, and facilities shall be maintained throughout the life of this contract in condition satisfactory to the University.  Thus, the contractor shall adhere to the highest standards of cleanliness and sanitary practices, to insure continual sanitation in all functions and matters related to the execution of the terms of this contract.

DRY CLEANING SERVICE REQUIREMENTS:

Dry Cleaning is to include cleaning, pressing, repairing, hanging, matching, packaging, ordering and storing of band member, directors and drum major uniforms.  The fabric content of uniforms and accessories are listed below:

Cleaning - All uniforms must be cleaned using Valclean, Perchloroethylene, Naptha or petroleum 140F solvent perchloroethylene chemical to render the uniform cleaned.  Cleaning with the use of cationic detergents such as Caled Nu-Touch is not acceptable.  Please indicate on the "Bidder Response Sheet" the type of chemical you will be using.

Examine each uniform garment piece for unusual soiling or stains, particularly those pointed out by the user when the uniform garment was picked up for cleaning.

Prespot and/or postspot the uniform garments as per the best established trade practices being careful not to use those chemicals which may cause immediate or latent bleed-off problems.

When necessary, removal of red dye which has run into the overlays must be hand done by steam gun.

The University may require a trial uniform garment be dry cleaned to evaluate the effectiveness of the cleaning cycle.  Final decision to approve the effectiveness of the cleaning cycle rests with the University. 

            Pressing - cleaned uniforms including trousers, coats, overlays, are to be professionally pressed.

            Finishing - uniforms are to be matched by number, and placed on hangers before delivery.

            Collar inserts laundered.

            Laundered gloves must be neatly done to avoid wrinkling.

            Storage - all uniforms are to be stored in an area which is licensed by the State of Wisconsin.

Items failing to meet University cleaning standards will be returned for rework at no cost to the University.  The University will label rework as such. 

Item Identification - the University has the option of furnishing a ticket indicating the quantity of each item contained in a pick up.  If the contractor takes exception to the University stated contents they will notify the UW Band office within 4 business hours of the discrepancy for pick-ups during the football season, and within 30 working days of the discrepancy for pick-ups at the end of the season and/or the contractor shall be responsible for the amounts indicated on the pick-up slip.  If the University has not furnished a pick-up slip indicating the quantity of each item contained in the pick up the contractor's calculation shall prevail.

Upon delivery of cleaned uniforms, the contractor will furnish a ticket indicating the contents of the delivery.  During the football season, the University shall verify the garment counts upon receipt, sign, date and record apparent discrepancies on the delivery ticket.  The University shall notify the contractor within 24 business hours of any discrepancies discovered after delivery.  If the University furnished a ticket, items that are lost by the contractor will result in a charge against the contractor for the lost items at the University's replacement cost.

Upon delivery of cleaned uniforms from storage the contractor will furnish a ticket indicating the contents of the delivery.  The University shall verify the garment counts and notify the contractor within 10 working days of any discrepancy.  Items that are lost by the contractor will result in a charge against the contractor for lost items at the University's replacement cost if the University had furnished a ticket indicating the quantity of each item contained in the pick up.  If no ticket was provided, the contractor's calculation shall prevail.

UW Band uniform and related items which are not herein identified may be added to this contract by the University.  Charges for additional items will be negotiated at the time of inclusion.  All required additions and deletions shall be submitted to the University of Wisconsin-Madison Purchasing Services for prior approval and amending to this contract.

LAUNDERING OF RAIN COATS
Approximately 250 Thinsulate raincoats and 226 lined raincoats are to be laundered 1-2 times per year.  The Thinsulate coat has a 100% nylon shell with a thinsulate lining.  IT is machine washable in lukewarm water and tumble dry low setting.  The lined raincoats have a rubber shell with a black nylon lining.
