LINEN RENTAL AND LAUNDRY SERVICES FOR THE WI UNION HOTELS, UNIVERSITY HEALTH SERVICES AND THE COLLEGE OF THE AGRICULTURE AND LIFE SCIENCES SHORT COURSE DORMS

SCOPE: Contract for Linen Rental and Laundry Services for the WI Union Hotels, University Health Services and the College of Agriculture and Life Sciences Short Course Dorms.

 

This contract is for the rental of Linens, maintaining in-stock inventory, pick-up of soiled items, cleaning, ironing, processing, bundling and delivery to the WI Union Hotels locations, Union South 1308 W. Dayton St. and Memorial Union 800 Langdon St., the University Health Services building 333 East Campus Mall and the College of Agriculture and Life Sciences Short Course Dorms 650 Babcock Dr.

 

The Wisconsin Union Hotel is located in the brand new Union South. The 60 boutique-style guest rooms include extended stay suites complete with kitchenette and living area.

 

The Wisconsin Union Guestrooms are located in historic Memorial Union—a few steps from beautiful Lake Mendota and the Memorial Union Terrace. Each room has a private bath, air conditioning, cable TV and a campus and local telephone. Most rooms have two double beds and a view of Lake Mendota.

 

Jorns and Humphrey Halls provide a comfortable home for students and visitors while on campus. These residence halls are located on the scenic shores of Lake Mendota at 650 Babcock Drive, conveniently close to Short Course classrooms on the College of Agricultural and Life Sciences campus. The two dormitories are not a part of the UW Residence Halls system. The CALS dorms provide housing for students attending the Farm and Industry Short Course from November to April. They also house 25-40 full-time degree students on a contract basis. Busiest dates are from April 10 to November 1, and limited space is available other times of the year. CALS currently owns its linens and would only need laundry services.  There are 80 rooms: 11 with 3 beds, 63 with 2 beds and 6 with 1 bed.


University Health Services (UHS) is the student health center at UW–Madison.

SPECIFICATIONS

1.        Contractor Equipment
The Contractor shall have full responsibility for the costs of any damage or loss to their equipment.  The Contractor is also responsible for damages to any premises of the University caused by the negligence of the Contractor or his employees.

2.         Laundering
            All rental items shall be washed, extracted, tumbled, ironed and folded, as required, using only non-allergic soaps, detergents, bleaches or other chemicals to render the finished products clean.

            Linens/garments not meeting Department standards shall be returned to the Contractor and rewashed at no cost to the Department.

3.         Carts
            Carts must be supplied at no charge to the Departments. Carts must be rust free, clean and in good condition. There must be separate carts for clean laundry and for dirty laundry.

4.         Replacing Linens/Garments
            The uniforms, linens and towels shall be maintained throughout the life of this contract in condition satisfactory to the Department.  The Contractor shall adhere to the highest standards of cleanliness and sanitary practices.

            4.1        Normal Wear and Tear
The Contractor shall repair or replace worn or damaged items as a result of normal wear and tear at no additional charge to the Department.  Repair of all rental items shall be performed by the Contractor, acceptable to the Department, rendering the item useful and retaining an aesthetic appearance.  The Department shall not repair any items owned by the contractor.  Items older than 24 months old must be promptly replaced by the Contractor at no cost to the Department, if requested by the Department.

Any item rejected for use by the Department shall be replaced promptly by the Contractor to the satisfaction of the Department at no cost.

            4.2        Lost, Damaged or Destroyed
The Department shall only be responsible for damage or loss of items which can be documented as having occurred while in use or storage at the Department and attributed to Department neglect. The Department shall reimburse the Contractor for verified losses at the Contractor’s replacement costs.  Damaged items for which the Department paid shall become the property of the Department. Damaged items must be shown to a Department supervisor prior to being invoiced.

            4.3        Depreciation Rate for Linens and Garments
The following depreciation schedule shall apply to linens and garments that must be replaced due to damage or loss by the Department.

If the exact age of a lost linen or garment cannot be determined the average age of the remaining garments (the same shirts, pants, sheets, towels, etc.) for that employee or department will be used to determine the age.

5.         Inventory Count
            Physical inventory counts should be done once per year (during the winter holidays).

6.         Customer Owned Goods, COG
The Department may have the Contractor clean comforters.
