HIGH DENSITY/HIGH VOLUME LIBRARY STORAGE

SCOPE:   Contract for adjustable shelving for a high-density library storage facility that will be built for the UW-Madison General Library System.  The specifications allow for moveable compact shelving or static tiered shelving to fit in a usable space of 20 feet in height or less. 

The shelving must coordinate closely with the new facility’s fire suppression, HVAC, electrical power, lighting and fire alarm systems. 

The proposed library storage facility will be an expansion of the existing UW Madison Materials Distribution Services (MDS)/ Surplus With A Purpose (SWAP) warehouse on Thousand Oaks Trail near Verona, WI. 

The facility is expected to have the capacity of housing a minimum of 650,000 volumes but based on proposals received may be up to 800,000 volumes. 

Over time, the Libraries anticipate transferring more than 650,000 volumes, roughly 8% of the existing collection, to an off campus storage facility.

SPECIFICATIONS

The building will consist of temperature-controlled, warehouse space, 120’ by 85’ (approximated 10,000 GSF) with usable interior height of 20’.  Shelving height will be required to fit in a usable height of 20 feet or less.

Volumes are to be stored in trays to increase the per-cubic foot capacity and to protect materials.  Items are stored by barcode number, rather than by call number as they would be in a traditional library. The item barcode number is attached to the bibliographic record in the library management system. The shelves are numbered and labeled.  Each shelf is of the same size, although the vertical space between the shelves must be easily adjustable because size of trays varies.  Each shelf should allow for a variety of space efficient configurations for any types of trays used.  For example, in a majority of high density shelving facilities, the typical size shelf is 53”wide (unobstructed by the upright support posts).

The storage and retrieval system will be designed for active storage with continual but relatively low demand for access and delivery.  It is intended that sorting, processing, copying, scanning, and all other management procedures (other than storage and retrieval) will be performed back on campus in the appropriate service area.  The management strategy is to keep the staff size minimal at the storage facility and avoid split functional services between on-campus and off-campus locations.  It will also allow all of the available warehouse space to be used for storage only.
