CONTRACT TERM:

April 1, 2004 through June 30, 2010 with options for renewals (5) if the University agrees it is in our best interest to renew the contract for another year.


Summary of Service:

The objectives of the equipment maintenance management program are to outsource the administration of corrective and preventative maintenance while providing cost effective controls and handling efficiencies that maintain or improve levels of vendor service.

Specialty Underwriters fulfills these objectives by offering a comprehensive range of cost reduction programs and services aimed at controlling maintenance expenditures.

Two Key Benefits Offered by Specialty Underwriters are:

One point of contact for all equipment maintenance management issues (including supplier invoicing and payment) and the ability for the member to retain their repair / maintenance supplier of choice. The typical program converts maintenance agreements and repairs to a time and material approach. Specialty Underwriters contacts the repair company as requested by the member and processes individual supplier invoices.

If you have a current maintenance provider but you would like to also obtain a quote from Specialty Underwriters to take advantage of the saving, please forward a copy of your current maintenance contract or a copy of your invoice to Specialty Underwriters, Earl Bednar, 414-281-1100 / 800-558-9910.

The below discounts apply for all equipment included in the Equipment Maintenance Management program under the risk transfer (insurance) category.

30% discount or greater from the most recent manufactures’ and/or third party parties’ price for maintenance / repair coverage* for the following categories of equipment.

Office supplies, communications equipment, data processing equipment, scientific laboratory equipment, mail equipment, and security alarm equipment.

20% discount or greater from the most recent manufactures’ and/or third parties’ price for maintenance / repair coverage* for the following categories of equipment.

Cardiology / stress test / icu,cc,ckg, function lab / respiratory, surgery, radiology, and medical laboratory equipment.

* The manufactures’ and/or third parties’ price for maintenance must be from a reputable company and mutually acceptable (member and Preferred Vendor) source. Discounts are assured for ‘risk transfer’ insurance program equipment only. ‘Bundled’ contracts, (those contracts that may contain service and purchase mechanisms within the contract), will be identified within the initial study phase of the program. ‘Bundled’ discounts may vary (because of the purchase mechanisms) but the Preferred Vendor will clearly identify such occurrences and provide members with discounts on the covered repair and maintenance portion of the bundled contract comparable to those stated above.

If you do not have a current provider, please provide Specialty Underwriters the following information to receive a price quote (please note, without any other pricing information provided, Specialty Underwriters will not be able to guarantee the 20%-30% savings):

* Equipment Description
* Make, model and serial number
* Location of equipment
* Original purchase price
* Local vendor you would like to use
* Annual usage if this is for a copier

The Specialty Underwriter representative can explain the program and also tell you what is and what is not covered by this plan.

If you are going to cancel a current plan with another provider, or are not going to renew, please contact the UW-Madison Purchasing Agent involved in that commodity area. The Purchasing Agent must be notified prior to you canceling a contract. Also, you must send a written request to the Agent to issue a change order to cancel the purchase order itself.
