SCOPE: The Residence Halls Food Service provides students food on an item-price basis, provides catering services for University programs and special events, and operates Deli carryout food service at two separate locations on campus. These operations consists of four cafeterias, two carryout stores, three coffee houses, and two deli food services. Service continues during the summer months for conference groups in most locations.

MINIMUM SPECIFICATIONS

The Contractor must provide regular, specialty and decaffeinated coffee blends. The coffee blends provided must be top-of-the-line grade (top quality blend, high grown, hard bean).

The Contractor must provide coffee that is packaged appropriately for the brewing equipment. The Contractor must agree to provide other size packages if required by the University during the term of the Contract.

The Contractor must provide coffee in foil lined bags film with a six-week shelf life and packed within five hours of roasting, blending and flavoring.

The packages must be labeled with coffee product code number, flavor name, the date of roasting and expiration date.

Coffee provided must be delivered to the University not later than two (2) days after roasting with an expiration date as stated on the package.

1. Fair Trade Coffee
The Contractor must be able to provide fair trade coffee certified and labeled by TransFair.
2. Supplies
The Contractor must provide all filters, urn cleaner and brushes, and sight glass tubing and brushes. This cost must be included in the per pound price of the coffee.

3. Equipment
  3.1 Contractor must provide equipment as listed.
  3.2 Residence Halls will provide equipment as listed.
4. Maintenance/Service
  4.1 The Contractor must perform preventative maintenance on all Contractor-owned and University-owned coffee brewing equipment on a weekly basis. Brief written reports must be furnished to the Residence Halls by the service person at the conclusion of each maintenance call. A copy must be sent to Purchasing Services Contract Administrator.
  4.2 The Contractor must delime all Contractor-owned and University-owned brewing equipment as needed or a minimum of twice per year. This procedure must be scheduled with the Food Service Unit during student vacation periods. The deliming must be completed by a qualified, experienced, service person.
  4.3 If the Contractor cannot repair the equipment within 24 hours the Contractor must provide a loaner coffee urn of equal quality to the University until the University owned or contractor owned equipment has been repaired.
  4.4 All maintenance must be performed on campus unless approved by the Residence Halls Food Service Representative.

  4.5 Repair calls received in the a.m. must be acknowledged in the p.m. of the same day and the equipment must be serviced within six (6) hours of the initial call.
  4.6 Repair calls received in the p.m. must be acknowledged by 9:00 A.M. the following work day and the equipment must be serviced by 12:00 Noon of the following work day.
  4.7 The Contractor must provide unlimited call-back service.
5. Parts
  5.1 The Contractor must provide all parts and labor for Contractor-owned equipment.
  5.2 The University will provide all parts and labor for University-owned equipment.
6. Emergency Service
The Contractor must provide emergency repair service within six (6) hours of notification on a seven (7) day per week basis for all University-owned and/or Contractor-owned equipment. Service may be provided by the Contractor or by a designated local appliance service center. If service is provided by anyone other than the Contractor, the Contractor must provide the name, address, and phone number of the subcontractor.
7. Delivery
The Contractor must deliver coffee and provide service at the following locations:

Elizabeth Waters
Contractor must provide Fetco Twin 1 gallon Thermal Coffee Brewing System with 4 one-gallon Luxus Thermal Dispensers or equal coffee brewing equipment to replace existing equipment.

Chadbourne
Contractor must provide Fetco Twin 1 gallon Thermal Coffee Brewing System with 4 one-gallon Luxus Thermal Dispensers or equal coffee brewing equipment to replace existing equipment. Also provide coffee and service for an American Metalware twin 5 gallon urn, Model 7776E (uses 1# of ground coffee per 5 gallons).

Contractor must provide coffee, service and supplies to Chadbourne Dining Room, Frank's Place (lower level), and Ed's Express (located in B3 dining room).

The University will provide the following equipment in each coffee house:

*Espresso machine, LaPavoni Model 250BAR
*Grinder, LaPavoni NFN26958 (grinds beans for espresso)
*Grinder, Grindmaster Model 250A (grinds beans for regular and decaf coffee for Bunn coffee maker.

Grainger Executive Dining Room
The University will provide the following equipment:

*1 each - Bunn Precision Grinder G9 series
*1 each - American Beverage Systems 2 sided coffee brewer Model P-400E
*1 each - American Beverage Systems 1 sided coffee brewer Model P-300E
*2 each - American Beverage Systems portable electric warmers (the coffee shuttles sit on these)
*4 each - American Beverage Systems coffee shuttles
