SPECIFICATIONS

 

SPECIFICATION DESCRIPTION

1.

General Specifications for All

Contactor has included the manufacturers complete specifications for each wide format printer/scanner model bid.  (The manufacturer’s current model specifications will be considered to be the benchmark for evaluation purposes.)

Contactor  has included a copy of certification that product meets IEC Standard 60950-1

Contactor  has included a copy of certification that product is compliant with FCC Part 15 Subpart B.

Contactor agrees that equipment submitted on bid operates in conformance with specifications and functional requirements stated.

Contactor agrees to provide original new equipment (no used or refurbished equipment) and manufacturer’s current production products.

All equipment is manufactured for sale in the United States market and subject to all United States warranties.

Contractor must notify the ordering department of any back order, discontinuation of item(s) or other delays in shipping within 2 working days of receipt of order.

Contractor agrees to furnish, deliver and provide installation and rollout services.  These services include receiving, installation, network systems support testing and training in Madison Wisconsin at the installation location(s).

2.

Technical Specifications for All

Product bid is a wide format printer/scanner system for mapping & engineering documents, and is fully compatible with all Autodesk products application software.

Product bid accepts information via vector-based drawings, raster images and desktop publishing and documentation software files.

Product bid must be certified to meet International Electrotechnical Commission (IEC) standard 60950-1.  (i.e. Underwriters Laboratory (UL), Technischer Uberwachungsverein (TUV), etc.)

Product bid is FCC compliant with Part 15 Subpart B for radiated emissions.

Client software installation packages should have exe or msi format for automated distribution, execution and configuration.

Printer: Black and White for all

Contactor’s equipment shall be light-emitting diode (LED) Technology

Contactor’s equipment shall be able to produce plots up to 36 inches wide x 30 feet long

Contactor’s equipment shall be able to deliver four (4) “D” size sheets per minute minimum

Contactor’s equipment shall have resolution capability of at least 400 dpi and 256 gray scale shading

Contactor’s equipment shall accept bond, vellum and film media types (such as a clear transparency)

Contactor’s equipment shall provide at least three (3) media rolls capable of sizes of 22”, 34”, and 36” by up to 500’ each

Contactor’s equipment shall accept Adobe PostScript Level 3, HPGL, HPGL2, HPRTL, TIFF, Jpeg, and PDF data formats

Contactor’s equipment shall provide a standard 10/100 Ethernet connection and accept TCP/IP and LPR/LPD protocols

Contactor’s equipment shall provide print drivers for Windows NT 4.0 Workstation, Windows NT 4.0 Server, Windows 2000 Server, Windows XP Professional, Vista, Windows Office 2007, Windows 2003 Server, Windows 7 and Windows 7 Server 2008 R2.

Contactor’s equipment shall support a minimum of 1 gig of ram internal to printer

Contactor’s equipment shall have automatic roll selection and switching.  It automatically picks the most appropriate/efficient roll to print on. (no waste or cutting)

Contactor’s equipment shall have automatic data format sensing

Contactor’s equipment shall have automatic size detection.  The controller detects the original size of the file/print and makes output determinations and best fits on the paper (no waste or cutting)

Contactor’s equipment shall have automatic rotation.  Controller will automatically rotate image for best fit/least waste

Contactor’s equipment shall have automatic scaling.  This is the ability to auto scale based on manual roll selection (“fit to roll size”).

Contactor  Support Specifications

AUTHORIZATION:  Contactor  is the Original Equipment Manufacturer (OEM) or a certified reseller of the (OEM) for the equipment covered by this contract with a minimum of three (3) years in business.  Contactor  has provided a letter from the manufacturer stating it meets all OEM certification requirements, and it is authorized by the OEM to lease within the State of Wisconsin.  Bids received without certification letters from the OEMs may be rejected.

SERVICE:  Contactor  is the Original Equipment Manufacturer (OEM) or an OEM Authorized Service Provider for the hardware covered by this contract.  Contactor  has provided a letter from the manufacturer stating it meets all OEM Authorized Service Provider certification requirements, and is authorized by the OEM to provide services on equipment within the State of Wisconsin.  Bids received without certification letters from the OEMs may be rejected.

Contactor, upon request by the University, must provide maintenance for hardware issues.  The support may require management of problems related to hardware, including service dispatch.

Contactor  must support the products they are bidding and take responsibility for timely problem resolution.  Contactor  must be able to provide on-site service at all UW Madison locations.  Sub-contracting with prior approval from the University is allowed.

Contactor  must provide preventive and predictive hardware support as well as replacement support.  This also includes providing support and assistance in complex and difficult network, operational and software problems.

Contactor’s shall furnish all manufacturer’s repairs or provide alternate source of local manufacturer’s repair at no extra cost to the University.

Contactor  must provide a toll free support line (Live person)

Contactor  must have trained staff available for on-site instruction to UW Madison departments/staff.  Contactor  must provide training on the use of the product(s) for users.  The training is to be adequate to have the average user fully operational with basic functions of the equipment after initial training.  The training shall be provided at each UW Madison FP&M installation site within 48 hours (2 working days) after installation is completed.

Maintenance plans shall be available from the contractor, or from an acceptable alternate source.  Such maintenance plans shall be available during normal UW-Madison FP&M Business hours.  Normal business hours are 8:00 AM to 4:30 PM Monday through Friday.

Labor costs for Contactor-required upgrades to the equipment and software must be included in the maintenance agreement at no additional cost to the UW.

A response time of 4 business hours is required for any maintenance call.  Service calls received in the a.m. must be acknowledged in p.m. of the same day.  Service calls received in the p.m. must be acknowledged by noon the following work day.

Contractor agrees to maintain a stock of parts sufficient to complete normal repairs within 24 hours (1 working day).

In the event a lease exceeds the contract’s termination, the Contractor must continue to support the lease arrangement through the term of the lease.

Consumables must be received within 3-4 business days After Receipt of Order

Maintenance and Repair for Leases:

  •  

Maintenance shall include labor, service, repairs and repair parts, shipping, transportation, fuel surcharges, travel time, software fixes, patches and updates, support of new applications, etc. (anything needed to maintain equipment) during stated service hours.  University service hours shall be defined as 7:45 a.m. to 4:30 p.m., Monday through Friday, excluding holidays and state mandated furlough days.

Maintenance shall include a minimum of one annual preventative maintenance cleaning and full check up of machine upon request.  Contractor must coordinate and schedule dates and times with the University contact person.  No additional charges will be allowed.

Contractor must perform all maintenance on site unless University grants permission to remove equipment from site.

Contractors must have access to replacement parts within 24 hours to service all machines identified under this bid.

A response time of 4 business hours is required for any maintenance call.  Service calls received in the a.m. must be acknowledged in p.m. of the same day.  Service calls received in the p.m. must be acknowledged by noon the following work day.

Contractor must complete all maintenance or repair services within 24 hours of the initial call.  If Contractor cannot complete all services within this time, the contractor must provide a progress report of the repair to the department.  The service representative shall leave with the ordering department a copy of a dated written report indicating the service performed.  This report must be signed by the University employee in charge of the machine.

Contractor shall provide unlimited call-back maintenance service during normal business hours.

Contractor must use only manufacturer trained personnel for this contract.

  •  

FP&M shall have the option to contract with another vendor to repair or service machines if Contractor is unable to repair equipment for any reason or make necessary repairs on a timely basis.

On-Site Demonstration
An on-site demonstration of any product bid may be required for evaluation purposes.  This demonstration is to be without expense or obligation to the University.  The University will not be liable for any loss or damage.  If requested, the demonstration must occur within 5 working days or as negotiated with the Contractor.

  •  

The University shall provide plot files, generated at the discretion of the University, in one or more of the required copier formats to be plotted during the demonstration.

  •  

The sample plot files shall not be given to vendors prior to the demonstration.

  •  

The University shall bring the plot files to the demonstration on CD-ROM.

  •  

University shall provide sample documents for scanning and copying during the demonstration.

  •  

The sample documents shall not be given to vendors prior to the demonstration.

  •  

The Contractor shall provide the University evaluation team a pc workstation during the demonstration for viewing the scanned documents.

  •  

Demonstrations may be conducted at the Contactor’s location, Contactor approved reseller, or a mutually agreed to customer location.

  •  

The demonstrations shall be conducted at locations within the State of Wisconsin.

  •  

All plots and copies generated during the demonstration will be taken back to University facilities for further analysis.

  •  

Demonstrations shall have a time limit of three hours per configuration.

Environmentally Friendly (“Green”) Product:
Contractors are encouraged to identify products that are made of recycled products, that use environmentally friendly production methods, or that can be recycled at the end of their service life.  The UW will make every effort to purchase “Green” products wherever feasible or possible based on individual project needs and funding available.
