SPECIFICATIONS
1.

Service Requirements.  Clean food service exhaust hoods and duct work from kitchen to exterior of buildings as requested by University Housing. All work to be done as per N.F.P.A. Standards #96, 8-3

2.

Cleaning Method.  Method shall be hand-scraping and manual cleaning with an approved degreaser.  Hoods and ducts cannot be pressure-washed in most kitchens. Contractor assumes full responsibility for damages as a result of using pressure washers.

3. Degreaser.
  a.

Shall be non-flammable, non-toxic, environmentally safe, and suitable for use in a food service environment.

  b. Shall be subject to approval of the University, and the University Contract manager shall be the sole judge of suitability.
  c.

Samples must be provided within 5 working days of the University's request during the life of this Contract.  The 5 day requirement may be adjusted if mutually agreeable to both parties.

  d.

Contractor shall notify the University Contract manager of any degreaser changes at least 4 weeks prior to beginning scheduled work.

  e. Contractor shall provide Material Safety Data Sheets (MSDS) for all cleaners used as part of this Contract. 
4.

Notification. Contractor representative shall contact the University Contract manager (or designees) in charge of each work area before starting work for information about special conditions such as instructions, directions, coordinating with building occupants, etc.  This is a requirement EACH AND EVERY TIME a hood or duct is cleaned.

5.

Work Hours. Shall be 8:00 am to 4:15 p.m., Monday through Friday (except holidays) or as directed by the University.

6. Schedule, Locations and Frequency.  The University will contact the Contractor at least 6 weeks prior to schedule each cleaning project or shall arrive at a mutually agreeable schedule.  Building locations are as listed below. Frequency of cleanings to be done as per N.F.P.A. Standards #96, 8-3.

7. Cleaning Standards:
  a. All exhaust fans, connecting duct work and hoods are to be cleaned to acceptable local fire codes and N.F.P.A. Standards #96, 8-3.
  b.

If cleaning chemicals and/or procedures will damage University's property, the floor, walls and surrounding equipment must be protected.

  c.

Gordon Commons hoods are painted with epoxy.  The remaining duct work and hoods are galvanized steel.  The cleaning chemical and/or procedure must not damage or remove these or other protective surfaces.

  d.

All hoods, ducts, grills, fan housings, blades or impellers, and grease or residue from ducts on floor under fans and hoods must be thoroughly cleaned leaving no grease dirt or cleaning chemical residue.  There shall be no standing water left inside or outside of the system.  All water puddles must be wiped dry rather than air dried to prevent residue staining or rusting.

8. Inspection:
  a. Contractor shall not leave each work site until the work has been inspected by the University Contract manager (or designee) during normal business hours.  The University Contract manager (or designee) shall be the sole judge of acceptable work.
  b.

The University will not be responsible for additional charges if Contractor must return to the work site(s) to satisfactorily complete the cleaning.

  c.

Payment will not be authorized until all work has been completed to the University's satisfaction.

9. Performance:
  a.

Contractor shall have in his or her employ, sufficient qualified and competent personnel to perform work promptly and in accordance with the work schedule as approved by the University.

  b.

The University may require the Contractor to not employ and/or to dismiss from the work such employee(s) as the University deems incompetent, careless, insubordinate, or otherwise objectionable.

  c. No subcontracting will be allowed without the prior written approval of Purchasing Services.
  d.

At each work site, the Contractor shall employ a supervisor or foreman who shall have full authority to act for the Contractor.  It is understood that such Contractor representative shall be acceptable to the University.
