SPECIFICATIONS - LAWN CARE

NOTE: Where a specific number of times a task is to be performed is stated, that is the minimum number of times that task is to be done.  Respondents may propose a higher frequency of particular tasks in their response. The contractor is responsible for maintaining the grounds “clean and green”.

1 The lawn will be cut as needed, approximately twenty-four times per year, to maintain a grass length between 2.5" and 3". Visible grass clippings will not be left on the lawn. Either the lawn will be mowed with a "mulching mower" or the clippings must be manually removed. No visible clippings shall be left on surrounding mulch, stone beds, and sidewalks.
2 Every two weeks, the grass and landscaped areas surrounding the parking lots will be trimmed.
3 All walkways will be edge trimmed with a power edger two (2) times each year
4 Litter will be removed at each visit, including litter from parking lots and beds.
5 Two (2) times each growing season, the lawn will receive applications of corn gluten to minimize the spread of broadleaf, crabgrass, and to nourish a healthy lawn while protecting the environment
6 The grounds of each clinic shall remain pesticide free. Bark beds must be hand weeded at least twice per year.
7 Shrubs and trees will be pruned each Spring and Fall to maintain shape and appearance.
8 Each Fall, leaves and other debris will be raked and removed from the premises.
9 Each Spring, leaves and other debris will be raked and removed from the premises.
10 Bark beds/rings will be replenished once each year in the spring, and lawn aerated once each year
11 Personnel:
  a. Contractor shall have in its employ, or under its control, sufficient qualified and competent personnel to perform work in accordance with the contract.
  b. Contractor shall employ only such workers as are skilled in the tasks to which they are assigned. Workers shall act appropriately and professionally at all times. Offensive language, gestures or actions while on clinic property are not acceptable. The University may require the Contractor not to assign any employee the University deems objectionable to work on University projects
  c. Workers shall be identifiable as contractor employees at all times while on the premises.
12 Site Conditions:
  a. Contractor shall move debris and items of value found on lawns away from the path of grounds maintenance activities prior to beginning service, and during operations if necessary. Accumulated trash and debris shall be properly disposed of in on-site trash containers. Items of value that are damaged by lawn mowers shall be paid for by the Contractor at replacement cost for the item.
  b. In no case will any Contractor be permitted to exclude from the premises or work, any other Contractor or their employees, or interfere with any other Contractor in the execution or installation of their work.
  c. Interference with, or inconvenience to University operations shall be kept to a minimum. All exits, doors, passageways, and walks shall be unobstructed manner at all times.
  d. The Contractor shall notify the Clinic Manager, in writing, of any defects noted in such surfaces that are to receive their work if such defects may affect lawn mowing operations, or in-general present a safety concern.
  e. Storage of equipment shall be off-site, not on University property.
  f. Inadvertent acceptance of delivery by any representative of the University shall not constitute acceptance or responsibility for any of the materials or equipment. It shall be the Contractor's responsibility to assume all liability for equipment and material delivered to the job site.
  g. Water and electric power to work areas are available free of charge at the site. The Contractor shall make arrangements with the Clinic Manager for the use of such facilities and shall comply with such requirements and restrictions for their use as may be prescribed. Contractor shall provide all extensions from existing sources to project work area(s) as required to carry out the work. Any services in excess of those available at site shall be provided by the Contractor.
  h. Mower discharge shall at all times be aimed away from people, buildings and vehicles.
13 Work Hours: Contractor shall not operate lawn mowers, blowers, trimmers or other noise generating machinery before of the hour of 8:00 a.m. and after the hour of 8:00 p.m., without prior approval of the Clinic Manager.
14 Noise: Mowers, weed trimmers, and other equipment shall be properly maintained to operate at acceptable sound levels. Equipment that is generating excessive noise or is otherwise objectionable to the University shall be discontinued from use, at the University's request, until repairs can be effected. The Clinic Manager shall be the sole judge of acceptable equipment.
15 Property Damage:
  a. Injuries to any person and damage to any property shall be reported immediately to the Clinic Manager.
  b. Repair work due to damages caused by the Contractor shall be coordinated through, and subject to the approval of the Clinic Manager.
  c. Contractor shall be familiar with utility locations, which may be encountered or be affected by their work, and shall be responsible for damage caused by neglect to provide proper precautions or protection.
  d. The Contractor shall repair, to its original state, any landscape damaged by failure to provide proper and adequate protection, to the satisfaction of the Clinic Manager, or remove and replace with new work at the Contractor's expense.
16 Beginning and End of Season: The lawn mowing season will begin on May 1 of each year of this Contract, and end on October 30, or as directed by Clinic Manager
17 Waste Disposal: Grass clippings, oil cans, Contractor's rubbish, and Contractor's employee's personal refuse shall be disposed of by the Contractor in accordance with local, state and federal laws. University dumpsters and land shall not be used for disposal of grass clippings.
