How To Purchase A Facsimile (Fax) Machine

The Copier and Fax Machine Contract is a mandatory state contract done by the Department of Administration (DOA). All fax machine purchases should be made using this contract. 
Please visit the fax machine contract, which was combined with the copier contract.  It is divided into sections, and use the following instructions to make a selection.

  • Under the Attachments Section, there is an excel spreadsheet called “Fax Machine Models” and select tab #1, Machine Pricing, and then the volume band most appropriate for your needs.
  • You must purchase the machine; there are not any rentals on this contract. 
  • If at all possible, visit and talk to the dealer to see the machine in action and to ask questions. In the excel spreadsheet, there is a tab, Machine Features that describes the machines capabilities.  Ask for references of other University departments or State agencies using the equipment.
  • Once the appropriate fax machine for your needs has been selected, you can either put it on the procurement card or complete an external requisition to the contractor for that model. Allow approximately three weeks from the time the contractor receives the order until delivery is actually made.
  • Maintenance is strictly optional.
