Earnings Statements Information

Purpose:

This web page provides Divisional and Departmental Payroll Coordinators with a comprehensive source for information on Electronic Earnings Statements, so that they can answer both their own questions and any questions they may get from the faculty and staff with whom they work.

When will the hard copy statements no longer be printed?

Paper copies of the earnings statements are no longer printed and distributed for most employees. This started with:

Background:

Traditionally UW-Madison faculty and staff have received printed copies of their earnings statements. With the implementation of the My UW-Madison (MUM) web portal, the same information is available in an electronic format. The electronic format provides improved flexibility and convenience for the individual employee, in that the earnings statements can be viewed and/or printed from any computer with an internet connection, and at any time.

In the spring of 2006 UW-Madison made a major effort to eliminate centrally printed and distributed earnings statements for faculty and staff. Instead, we emphasized the use of electronic copies of the statement, delivered through the ‘My UW-Madison’ web portal.

Rare exceptions may be made for individuals who do not have access to online earnings statements and/or cannot print the statements at their worksite. In order to request the continued printing of earnings statements for an individual, use the Employee Report Option application. Further information on the Employee Report Option application is provided below.

Employee Report Option:

Classified and unclassified employees are encouraged to access their earning statements via the MUM portal; however, many of these employees may still need printed earning statements.

Each Division at UW-Madison has been given the opportunity to identify (by UDDS) those areas of their organization which will still need a printed copy of earning statements. A subsequent one-time mass automated process was used to ensure that the employees in the identified UDDS would continue to receive the centrally printed copy. Any employee not set up through this process must access their electronic earning statement through My UW Portal.

Divisional payroll coordinators have the ability to change an individual employee’s earning statement distribution type to “printed” (or back to “electronic”); through the Employee Report Option form. This new form was available in early May and is accessible for use at each Division’s central office only.

Please note that the option to receive centrally printed reports will not be provided to employees who only have student hourly appointments. By current policy all students employed at UW-Madison are only able to get their earning statement electronically; also, the option to have the Divisional payroll coordinator reprint their earnings statements will not be available to student hourly employees.

As new employees are hired they will automatically be set up to receive an “electronic” earnings statement. This option can be changed to “printed” through use of the Employee Report Option form. Divisional central offices will also be able to request a reprint of an employee’s earning statement from this form.
