Payroll Check Distribution

Direct Deposit – The University encourages all employees to have direct deposit. Direct deposit of your payroll check into your financial institution means no lost or stolen paper checks, no waiting in line to pick up a payroll check and no special trip to your bank or credit union. Direct deposit of your check is available in any financial institution throughout the U.S. and Puerto Rico.

Direct Deposit and payroll check date: The date payment is available to you at your financial institution and the date of the payroll checks is the same for all pay dates, e.g. classified, unclassified, student. When the normal paydate falls on a Federal Reserve (bank) holiday, a Saturday or Sunday, the date that payment is available to you will be the day prior to that day. If the unclassified paydate of January 1 is on a Saturday or Sunday, the paydate will be the first working day of the new year to avoid tax problems.

Effective date: Once you have completed a Direct Deposit Authorization form, we encourage you to contact your Payroll & Benefits office to find out what the effective date of the new or changed information will be. Your Payroll & Benefits office has access to this information online.

Changing your financial institution: If you have direct deposit and change your financial institution, you must notify your Payroll & Benefits office by completing a new Direct Deposit Authorization form. If your account is closed and you fail to notify us, receipt of your paycheck may be delayed until the monies are received back from the financial institution.

Check Pick-Up

If you do not have direct deposit, you will be required to pick up your check at 21 N Park Street, Suite 5101. Checks can be picked up during normal business hours of 7:45 to 4:30. Checks are not released earlier than the date appearing on the check. You must present a photo ID to pick up your check.

If you are having someone pick up your check for you, they will need a written authorization signed by you and they will have to present both their photo ID as well as yours. NOTE: An authorization to pick up your check is only valid for one pay date.

Checks not picked up become void after one year.

Special Circumstances

If you have a garnishment: Your check can not be direct deposited. Checks are mailed two days prior to paydate to your home address. If you move, you must notify us of your new address. When notifying this office of a new address, if you have a garnishment, please so indicate that on your address change information.

Once the garnishment action is completed, you can resume direct deposit by completing a new Direct Deposit Authorization form.

If your check is lost or stolen: Contact us immediately so that we can stop payment and issue a new check. This process takes 7-10 days.

If you permanently leave campus: We can mail your final check to you if you provide a self addressed stamped envelope.
