Earnings Statement

Background: Paper earnings were discontinued in June of 2006 for all UW Madison employees. Access to the earnings statement is available online at my.wisc.edu.

How do I access my earnings statement online?
To access your earnings statement online:

When will my earnings statement be posted to the My UW-Madison portal?
Earnings statements will be available at least three days before the pay date.

How long will my Earnings Statements be available in the portal?
For current employees, statements are available online for 18 months.

For terminated employees, access to the portal continues for 24 months after your termination date.

For student hourly employees who have graduated or who are no longer enrolled, access to the portal continues for 24 months from your termination date.

For students who terminate employment and continue in school, portal access is ongoing as long as you remain enrolled or up to 24 months beyond your termination date of employment, whichever is longer.

Do I need to print the earnings statement from the portal?
No, it is not necessary to print the statement since the information is stored for 18 months online.

How secure is the information displayed in the My UW-Madison portal?
Access to the My UW-Madison portal is secured according to the best practices for web security. The NetID and password are conveyed using Secure Socket Layer (SSL) technology and the password is encrypted before transmission over the Internet. After typing your NetID and your password (which is encrypted on the login page and shows up only as dots or asterisks) at the login page of the My UW-Madison portal my.wisc.edu and hitting 'login', the user is automatically directed to a secure login processing page. The NetID and password are not stored on the login page of the My UW-Madison portal but are passed through to the secure page and authentication is checked to ensure the NetID and password are valid. Additional information about My UW-Madison, including its security, can be found by clicking the 'About My UW-Madison' link on the login page. The largest threat to the security of the data comes from users voluntarily sharing their NetID and password with others.

Who should I contact if I have a question regarding the information on my earnings statement?
If the question pertains to the contents or existence of an Earnings Statement, contact your payroll office.

How can I request alternate formats of my Earnings Statements?
Earning statements are available in alternate format for individuals with disabilities. Contact the UW Service Center at payroll@ohr.wisc.edu or 608-262-3558.

If you must receive a paper statement, exceptions can be made. Please contact your payroll coordinator for details.

Does the Freedom of Information Act apply to information in the My UW-Madison portal?
Data associated with your individual employee record is accessible only by you. The same standards for the Freedom of Information Act that apply to data printed on paper also apply to data in the My UW-Madison portal.

Will corrections or adjustments to my pay record be displayed?
No. Earnings Statements represent a snapshot in time immediately following the calculation of a scheduled payroll.

How do I print my Earnings Statement?
If you choose to print your statements, these instructions apply to the Internet Explorer browser. If you are using a different browser, the instructions may be different.
