Tuition Remission Procedures


If possible, departments should notify the Bursar's Student Account Office with authorization information as follows:

Early notification of tuition remissions:

  1. Allows the Bursar's Office to send accurate student account bills.
  2. Allows students to receive their excess financial aid refund - meant to cover living expenses - as early as Federal Regulations permit.
    • Many TA's, PA's, RA's and LSA's receive student loans or other financial aid. If the tuition remission/waiver notification is not received before financial aid is disbursed, the aid is applied to pay tuition and fee charges, and not refunded.
    • It is understood that sometimes appointments cannot be made until immediately before or after the start of the term. In such cases, notify the Bursar's Student Account Office as soon as the appointment is made, and the tuition remission/waiver will be applied to the student's Tuition Account.

TA, PA, RA, LSA or Instructional Academic Staff appointments:

Campus departments should submit a list of all authorized students, not just changes, to the previous term's authorizations to: Bursar's Office Secure Web Site

The list should include the following information:

  • Student's last, first, middle names
  • Student's campus ID, ISIS empl ID, or SSN (national ID). One of the three identifiers needs to be entered for each student. DO NOT USE PAYROLL ID.
  • Type of appointment
  • Department contact name
  • Department phone number
  • Department email address
  • UDDS number

University Fellowships

Graduate School provides the authorization information for qualifying fellowships to the Bursar's Student Account Office. The website on which the Fellowship Authorization Form can be found provides guidance about submitting authorization requests.

Employment dates for a term must fall within the Academic Pay Periods for the term.

Dates for academic pay periods are published on the Employee Compensation and Benefits Services website under the "UW Madison Academic Payroll Calendars" heading. http://www.ohr.wisc.edu/polproced/utg/salrng.html
