TUITION ACCOUNT REFUNDS


GENERAL REFUND INFORMATION

Tuition account refunds are usually the result of;

  1. Financial aid (loans, grants, scholarships) is applied to pay tuition charges. If there are remaining funds after tuition is paid a refund is issued.
  2. A tuition reduction due to a class drop, term withdrawal, or residency change.
Financial aid is not applied to pay Housing charges. UW-Housing and Tuition accounts are on separate systems and must be paid separately. If a refund is issued, it can be used to pay housing.

If you withdraw from a term and have a financial aid credit balance, you will not receive a refund; funds will be returned to the financial source.

Tuition account refund methods are;

  1. An eRefund – is an ACH transaction deposited directly into the student's bank account.
    • Students enroll and manage eRefund bank information on their My UW Student Center.
    • Process Monday through Friday (excluding holidays), and post to the bank account in 1-3 business days.
    • Can only be deposited into a U.S. Domestic regular checking or savings account.
    • Are only available for students. (Parent PLUS loan refunds are a check mailed to the parent.)
  2. A check refund –is a physical check mailed via U.S. Postal Service.
    • Students who do not enroll for or withdraw from eRefunds will receive a mailed refund check.
    • Checks are processed weekly, and mailed the following business-day.
    • Requires an active "MAILING" address on My UW.
    • Is the method for all Parent PLUS loan refunds.

EREFUND – ENROLLING, WITHDRAWING, OPTING OUT

How do I sign up to have my Tuition account refund deposited into my bank account rather than a mailed check?

  • Log into My UW>Student Center, click "Manage Refunds" and then click the [eRefunds] button to be directed to the Tuition eBill /ePayment site. Click the link to enroll in "Your eRefund Status" section. Click [Yes] to enroll and then click [Continue] and enter the bank account information where you want your eRefund deposited.
  • It can take 24 hours for an eRefund enrollment or bank account change to take effect.

Do I need to enroll for eRefunds every semester?

  • No! You only need to enroll one time and that status stays in effect unless you withdraw from eRefunds.
  • If the bank account you entered for eRefunds changes or is closed, be sure to update your bank account information on the Tuition eBill/ ePayment site by editing your eRefund setup.

Is there a charge for eRefunds?

  • No!

What type of bank account can be used for a tuition account eRefund Direct Deposit?

  • Only a U.S. Domestic regular checking or regular savings account can be used for an eRefund deposit.

Can I have my eRefund deposited into more than one bank account?

  • No, an eRefund can only be deposited into one bank account.

Can my eRefund be deposited into my parent's bank account?

  • Yes. When you sign up for eRefunds you just need to enter the bank account information for where you want your eRefund deposited.

Can I have my eRefund deposited on a DEBIT card?

  • No, only a U.S. Domestic regular checking or savings account.

Can I use the same bank account I use for tuition ePayments for eRefund deposits?

  • Yes! If you already have a bank account saved on the Tuition eBill / ePayment site that was used to make a tuition ePayment, select that account when you sign up for eRefunds.

Can my parent sign up for eRefunds for their Parent PLUS loan refund?

  • No, Parent Plus loan refunds are a check mailed to the parent's "Home" address.

Can I withdraw from eRefunds?

  • Yes. Log into the site where you enrolled, click to [Edit] your eRefund status and select [No] and click [Continue]. When the next page opens no further action is necessary so you can sign out from the site, or you can re-enroll if you did not intend to withdraw.

I enrolled for eRefunds but when I click [Submit] on the page where I verify the bank account nothing happens.

  • You must click the box to accept the terms and conditions and then click [Submit].

EREFUND BANK ACCOUNT MANAGEMENT

My bank account for eRefund deposits has changed or was closed, what do I do?

  • Log into My UW>Student Center, click "Manage Refunds", and then click the [eRefunds] button to be directed to the Tuition eBill /ePayment site. Click to [Edit] your eRefund. You canNOT change the bank account NUMBER of a saved bank account but CAN change the routing number. If the number changed, click [Add NEW Bank Account for eRefunds] and enter bank account information. Be sure to verify that new bank account is selected for your eRefund.
  • If the bank account you entered for eRefunds is closed, be sure to select to edit your eRefund status and select [No] to receive eRefunds, or edit and add new bank account information.
  • Once you have a saved bank account that was selected for eRefunds, you canNOT select to delete it, but you can edit that account.

How long does it take for my eRefund to show up in my bank account?

  • 1-3 business days from the date you receive email notification that it was sent to your bank.

How will I know my eRefund has been deposited into my bank account?

  • The Bursar's office sends an email to notify you when your eRefund is sent by ACH to your bank.
  • It takes 1-3 business days for your eRefund to be posted to your bank account. Check your account in a couple days to verify the deposit was applied.

When does my eRefund show up on my Student Center Tuition Account Summary?

  • An eRefund is reflected on your Tuition Account Summary the same day it is processed.

My eRefund was returned, what do I do?

  • Your eRefund status is suspended until you correct your bank information on the Tuition eBill/ ePayment site.
  • If your eRefund bank information is not corrected by the next Thursday, your replacement refund will be processed as a check and mailed via U.S. Postal Service.

REFUND CHECKS – MAILED VIA U.S. POSTAL SERVICE

I want to receive my tuition account refund as a mailed check.

  • If you have not enrolled for eRefunds, do nothing and your refund will be sent to your MAILING address on My UW.
  • If you are enrolled for eRefunds you need to withdraw. Log into My UW>Student Center, click [Manage Refunds] and then click the [eRefunds] button to be directed to the Tuition eBill /ePayment site. Click the link to enroll in "Your eRefund Status" section. Click [No], then click [Continue], and then click [Tuition Home] or [Sign out] because no further action is necessary.
  • Mailed checks are processed once per week and mailed the next business day.
  • Always maintain a current MAILING address on My UW if not enrolled for eRefunds.

If I opt-out from eRefunds can I still enroll later?

  • Yes! Follow instructions for signing up for eRefunds, and then click to [Edit] your eRefund status.

I have a credit on my Tuition account but it's not refunded yet, why?

  • If you are not enrolled for eRefunds and do not have an active MAILING address on My UW, you must update your address on your Student Center> Personal Information section before a check can be processed.
