Position Funding Committee

Mission Statement of the Position Funding Project:

"The scope of the Position Funding Project is to design, develop and implement a funding database and a funding application process for salary and fringe benefit encumbrance and expenditure transactions. The new database and processes will support other systems that require payroll funding information such as APBS, SFS, Student Payroll System and the Payroll Interface, and will have the potential of interfacing with the budget system."

Proposed Reporting Formats, SFS Subscription reports:

As we have moved forward with the implementation, one recurring concern among users across Campus was the cessation of centrally printed reports. Because of this, Business Services has agreed to continue to produce a standard summary report of Accounting Information, one that can be distributed either electronically or as a paper copy. These reports can be subscribed for within the WISDM web application. We have developed instructions for subscribing to these reports, available as a Word Document (download a copy of the instructions for subscribing for these accounting reports by clicking on this underlined link). Archived Training Documents

Comparison Documents -WISDM and ACLS. These documents compare how data looks in the 'View in PDF' option of the WISDM system to how it looks in the Accounting Control Ledger Statements, and how it will look in the subscription report format (jump here for more information about the subscription reports). We have examples for Project/Grants; for General Program Revenue (GPR) funds; and for Program Revenue (PR) funds - the PR document shows both the conventional report format and a cash balance format. WISDM Training Manual for Project/Grant Administration
This user manual teaches you how to navigate through WISDM to perform various project/grant related data searches and reports. It demonstrates tips on how to perform various project searches, including search projects by PIs, by department, by fund or by a range of project/grant IDs. It also shows you how to create salary encumbrance balance reports and purchase order balance reports for your projects/grants. In addition, you will learn how to identify and interpret various transactions charged to your projects/grants. You will also learn what account trees mean to you.

You can either view the manual on line in HTML format, or download it to your PC. You need to have PowerPoint installed on your PC if you download the file. Once downloaded, view the file in PowerPoint "slide show" to enhance your learning experience.

Which Coding to use for what? This document details how you will use the two sets of coding, legacy and SFS, during the transitional period where we are using both systems. In the creation of this document we have tried to address tasks commonly performed on the Madison campus. While this list is not, and not intended to be, exhaustive, it should cover most of your questions regarding which type of coding to use, and when. WISDM Resource List. This Excel document was originally created by Dennis Manthey of the College of Engineering. Dennis realized that it would be helpful for COE staff to have a reference document which would quickly direct them to which reporting tool (whether a WISDM search, an add-on tool, or some other reporting system) to use when performing a specific task. After looking over the document the SFS team agreed that this list would surely prove helpful for users all across campus, and asked Dennis for permission to adapt his document for general campus use. Dennis graciously agreed, and the result is the document here. We think that you'll find this list extremely useful, especially in conjunction with the other WISDM tools. FY03 Class Code Crosswalk. This document shows the current Fiscal Year's codes, mapping between the legacy class codes and the SFS account numbers. This Excel document has three sheets (check the bottom of the document for the tabs to see which sheet is displaying), laying out the codes in legacy (class code) order, SFS (account number) order, and in alphabetical order. Differences between Legacy & SFS. This document details the differences between the legacy accounting system and the Shared Financial System (SFS). List of Requisition contacts. In doing our analysis of the differences between reporting in legacy and in WISDM, one bit of data that we realized was not going to come over were the initials of the person who entered a requisition. We realize that there are a number of people on campus who use these initials in order to research information about a requisition (including a number of areas here in Accounting Services). We won't be able to make this data available in WISDM right away, but we don't want to leave anybody hanging, either - so we've compiled this list of requisition contacts. These would be the people in each division who would have entered a requisition (or who would know who did). If you've got a question about a requisition, you can look up the Organization number in WISDM, and then call the requisition contact for that area.
