UW-Madison Ecommerce (CASHNet)

CASHNet allows departments on campus to develop storefronts on the internet and receive credit card payments 24 hours a day, 7 days a week using a stable, fast and secure server.

How CASHNet works:

  • The customer browses a merchant storefront and submits an order. The order information is passed along to CashNet's secure Web server where the customer enters their credit card information. CashNet processes the transaction and displays a confirmation or denial message.
  • The merchant gathers daily transaction information from the CashNet Administration web site. This information is used to perform daily reconciliation.

  1. Who do I contact to set up an CASHNet Service account?
    Complete and submit the account request form

  1. What credit cards will my web store be able to accept?
    Your store will be able to accept Visa, MasterCard, Discover, and American Express. Please see the set up forms.
  1. What is the procedure to obtain a MerchantID?
    After the account request form has been submitted, Business Services will contact Elavon—the credit card processing company to obtain a MerchantID. However, to obtain a number for American Express, a separate form will need to be completed and e-mail CashNet-Help@bussvc.wisc.edu at Accounting Services.
  1. How long does it take to get a MerchantID and have a CashNet account setup?
    The entire process can take anywhere from three to four weeks. So, please plan ahead.
  1. How can I receive monthly transaction reports for the credit card transactions?
    • You will receive a monthly hard copy of the statement of transactions for MasterCard, Visa, and Discover from Elavon.
    • The option to receive online statements is available. Sign up using Merchant Connect Form.
    • American Express has a similar process, however you will need a separate login and password to view transactions from American Express. Please contact CashNet-Help@bussvc.wisc.edu.
  1. Is there a charge to view the reports on Merchant Connect?
    There are two services available; Basic Service and Premium Service. There is no charge for either. For more information about the two services, view the PDF, Merchant Connect Comparative Matrix.
  1. Are there other charges for accepting credit cards?
    The merchant discount rate for VISA, Mastercard, and Discover is approximately 2.0 percent. The rate for American Express (AMEX) is higher; approximately 2.25 percent. Elavon charges .05 (5 cents) per refund transaction and also charges a $5.00 monthly maintenance fee for the Merchant ID. Chargebacks are $7.50. Discover charges an additional .05 (5 cents) per transaction.
  1. Will the merchant get a monthly statement for the transaction fee?
    No, Business Services charges the fund and account number provided by the merchant. The merchant will be able to verify the transaction count by using the CashNet reporting tools.
  1. How does the merchant access CashNet?
    Business Services will set up a user account in CashNet. Initial training is provided via telephone. For ongoing support and questions, please contact CashNet-Help@bussvc.wisc.edu.

  1. What if I forget my CashNet password?
    Please contact Cashmgt@bussvc.wisc.edu or CashNet-Help@bussvc.wisc.edu to reset the password. Please include the operator ID in the email message.
  1. Is there a limit to the number of users for any given merchant?
    No, there is no limit to the number of users, Business Services will need the list of users and their contact information, to set up the user accounts in CashNet.
  1. What the difference between a Void and a Return?
    When a transaction is refunded before the batch closes for the day, it is a void. The transaction charge does not hit the credit card statement of the customer. A refund is when a transaction is reversed but after the batch closes, possibly the next day or a week later. In this case, the charge will appear in the customer’s credit card statement and the credit that is issued when the refund is processed will also be listed in the statement.
  1. How do I do a partial refund?

  1. How do I void a transaction?

  1. How do I find out why a transaction failed?
    Generally a transaction will fail because of a bad credit card number, bad address or an incorrect security code. Please contact CashNet-Help@bussvc.wisc.edu to find out why the transaction failed.
  1. Can I get a report of all transactions in a specific date range?

  1. Can we change the colors of the payment page?
    Yes, in a limited way.
  1. When does the daily batch close?
    The daily batch closes at approximately 11:50 PM Central Standard Time.
  1. When does revenue from transactions get deposited into my account?
    The revenue will be deposited in the bank account two days after the date of the transaction, however, keep in mind that a batch will close on Friday at 11:50 PM, and the next batch closing will be on the following Monday.
