Receipt Packet Information

e-Reimbursement receipt packets must be retained for seven years.  Each Divisional Business Office will determine where the records are stored and who is responsible for maintaining them. While there is no standard filing method, documentation must be readily available in the event of an audit.

Accounting Services recommends the following:

  • 9 x 12” envelope
  • 5 ½ x 8 ½” shipping label (Template)

Adhere the label to the front of the envelope. Store supporting documentation inside. File the envelope by date, traveler, Expense Report ID, etc.

Note: If an envelope is not used, it is recommended that small receipts be taped to a full-size sheet of paper to reduce the risk of documentation loss.
