Meeting Process and Schedule

Conduct three meetings (3-4 hours each) with a cross-functional team to define and design improvements to the process for approving direct payments. Team members will be responsible for accomplishing much of the project work outside of formal meeting time.

Meeting 1 - Define Project and Current Process
March 16, 1:00 pm to 3:30 pm, Room 413 Peterson Building

  • Understand project context and objectives
  • Define measures of project success
  • Assess the current processes and how they relate
  • Identify and prioritize the areas of risk associated with the process
  • Determine data and information available and what additional information needs to be collected

Meeting 2 - Determine Problems and Develop Potential Solutions
April 5, 1:00 pm to 3:30 pm
Room 8411 Social Science Building, 1180 Observatory Drive

  • Analyze data
  • Draft the ideal process
  • Identify and prioritize areas where standards should be developed
  • Design steps required to achieve the ideal process

Meeting 3 - Develop Implementation Plan
May 2, 9:30 am to 12 noon
Room 8411 Social Science Building, 1180 Observatory Drive

  • Develop final flowchart of improved process
  • Agree upon action steps for implementing the improved process
  • Determine timeline and assign task responsibilities
  • Define measures of success for new process
